Privacy Policy: Inkvolt PDF and Inkvolt Print
This policy covers Inkvolt PDF and Inkvolt Print, the Windows apps of the Inkvolt suite by Bermudez Systems LLC, however you install them: from the Microsoft Store, with the suite installer, or built from source.
The short version
The apps collect no personal data. They have no account, no sign-in, no analytics, no ads, no telemetry and no crash reporting. Your documents, scans and printer details are never sent to us. We have no server that receives anything from them. The only way document text leaves your PC is the optional AI assistant in Inkvolt PDF, which is off until you set it up and sends only what you choose, to the AI service you choose (see below).
What stays on your PC
- Documents are opened, rendered, searched, edited and saved on your PC. Text recognition (OCR) uses the recognizer built into Windows, on the PC.
- Settings, recent files, the signatures and initials you save in Inkvolt PDF, the printers Inkvolt Print remembers, and the apps' logs are kept in your own local app data folder. Uninstalling an app installed from the Microsoft Store removes them with it.
- Digital IDs you create in Inkvolt PDF are stored in your Windows certificate store, or in a file you choose.
- A printer admin password is stored only if you ask Inkvolt Print to, in Windows Credential Manager, and is sent only to that printer, over HTTPS.
When Inkvolt PDF uses the internet
Only when you take an action that needs it:
- Timestamps. When you sign a document with "Add a timestamp", Inkvolt PDF sends a hash of the signature (not the document) to the timestamp server you chose (DigiCert by default) and receives a signed time. That server's own privacy policy applies to the request.
- Certificate checks. When you ask Inkvolt PDF to check a signature's certificate for revocation, Windows contacts the certificate authority named in that certificate (its CRL or OCSP address).
- PDF from a web page. When you turn a web address into a PDF, Inkvolt PDF loads that page with the Microsoft Edge WebView2 component built into Windows, in a private session, just as a browser would: the site (and anything the page itself loads) sees the request. An HTML file you convert from your PC can load images or scripts from the internet the same way. Converting Word, Excel and PowerPoint files uses Microsoft Office on your PC and sends nothing.
- Links. A link in a document opens in your web browser only after you click it, and Inkvolt PDF asks first for anything that isn't a web or email link.
The AI assistant in Inkvolt PDF (optional, off by default)
Inkvolt PDF has no AI of its own and doesn't come with one. If you want to, you can connect an AI you choose in Settings › AI assistant, to summarize a document, ask questions about it or explain a passage:
- Off by default. Nothing is sent anywhere until you turn the assistant on and configure an endpoint: a model running on your own PC (such as Ollama or LM Studio), a server on your network, or an OpenAI-compatible cloud service you have your own account with. "Test connection" only asks that endpoint for its list of models (and, for Ollama, how much text the model reads at once): it sends your API key, if you entered one, and the model's name, no document text. With Ollama, Inkvolt PDF asks the same question before each use, sending only the model's name.
- What is sent. Only the text you asked about: the pages you chose, the passage you selected, or your question with the document's text (or, when it doesn't fit, the parts most related to the question). A question also carries the earlier questions and answers of that conversation, and a long document's summary is made in parts whose summaries are then sent back to the model to be combined. With it go the instructions to the model and the model's name, plus your API key if you entered one. Never the file name, its folder, the document's properties or other documents.
- You see it first. Before a send, Inkvolt PDF shows where it goes, how much it is, and exactly what will be sent, and nothing goes until you confirm. You can choose "don't ask again" for one endpoint (and undo it in Settings); even then you are asked again for the first send to an internet endpoint, for text of a PDF whose author restricted copying (whatever the endpoint), and, for an internet endpoint, before the partial summaries are sent back to be combined.
- On your PC or network, or labeled when it leaves. An endpoint on your PC (localhost) or your local network (private addresses, .local names) keeps the text off the internet: Inkvolt PDF looks up the name itself and connects only to an address of your PC or network, and sends nothing if the name leads anywhere else. Any other endpoint is labeled "Leaves this PC" and must use an encrypted (https) connection; the first time you send to one, Inkvolt PDF warns you.
- The provider's terms apply. Text you send to a cloud service is handled under that provider's own privacy policy and terms, not ours. Check them, and only send documents you're allowed to share.
- Your API key stays yours. A key you enter is stored on your PC, encrypted for your Windows account, and sent only to the endpoint you entered it for. There is no built-in key and no Inkvolt server in between.
- Nothing kept, nothing to us. Questions and answers are kept only while the document is open, and aren't saved. Bermudez Systems receives nothing: not your documents, your questions, the answers, your key or whether you use the assistant at all. The app's own log, on your PC, notes only the endpoint's host, the size of a request and whether it failed, never the text, the questions or the answers.
Your local network
Inkvolt Print, and Inkvolt PDF's scanning and printer status, talk only to printers and scanners on your local network: to find them, read their status and supplies, scan, change their settings when you save, and print through the Windows print queue. Nothing about your printer or your documents goes to HP or to any other service.
Microsoft Store and Windows
If you install the apps from the Microsoft Store, Microsoft handles the download and updates under its own privacy statement. Windows features the apps use, such as the print queue, text recognition, voices for Read Aloud and the certificate store, are governed by Windows' privacy settings. The apps add nothing to what those send.
Children
The apps collect no data from anyone, including children.
Open source
You don't have to take this on trust: the source code of Inkvolt PDF (AGPL-3.0) and Inkvolt Print (MIT) is public.
Changes
If this policy changes, the new version is published at this address with an updated date.
